How Ko Impex Limited handles the personal data you provide through this website.
Before launch. This policy describes what the website as built actually does. It must be reviewed against the operating company’s real data-handling practices, its legal entity details, its supervisory authority and the jurisdictions it operates in, and completed with the controller identity and a contact route for data requests. It is not legal advice.
What this website collects
This site has no user accounts, no logins and no e-commerce. Personal data reaches us in exactly two ways: you submit the request for quote form, or you submit the contact form.
Request for quote
The RFQ collects your name, company, country, email address and optionally your phone or WhatsApp number, along with the commercial details of your enquiry — product, specification, quantity, packing, destination, Incoterm, shipment window, payment terms, inspection and documentation requirements — and any file you choose to attach.
Contact form
The contact form collects your name and email address, optionally your company and country, and the content of your message.
Technical data
When a form is submitted, your IP address is used transiently to apply a rate limit that protects the form from automated abuse. It is held in memory for the duration of the rate-limit window and is not written to a database or used for any other purpose.
Why we process it, and on what basis
Enquiry data is processed to respond to your enquiry and, where it leads to business, to perform or prepare a contract with you. Where you have asked us to contact you, that is the basis; where the processing is to protect the site from abuse, the basis is our legitimate interest in keeping a public form usable. The consent checkbox on each form records your agreement to be contacted in reply.
Who it is shared with
Submissions are delivered to the operating company’s own email or business systems. Depending on configuration, delivery may pass through an email service provider or an integration endpoint acting as a processor. Enquiry data is not sold, and it is not shared with third parties for their own marketing.
Analytics and cookies
No analytics or advertising tags are currently loaded by this site, and it sets no tracking cookies. Analytics is an optional integration: if it is enabled in future, this section will be updated to state what is loaded and what it collects before the tag is deployed.
Attachments
A file attached to an RFQ is validated for type and size and forwarded with your enquiry. Do not attach documents containing personal data about other people, or commercially sensitive material that is not relevant to the enquiry.
How long it is kept
Enquiry correspondence is retained for as long as needed to respond and to manage any resulting commercial relationship, and thereafter for the period required by applicable accounting and tax rules. The specific retention period must be confirmed by the operating company against the law applying to it.
Your rights
Depending on where you are, you may have the right to request access to your personal data, to have it corrected or erased, to restrict or object to its processing, and to receive a copy in a portable format. You may also withdraw consent to being contacted at any time, and complain to a supervisory authority.

Security
The site is served over HTTPS with strict transport security, a content security policy, and standard protective response headers. Form submissions are validated and sanitised on the server before being processed. Credentials for email and integration endpoints are held as server-side environment variables and are never exposed to the browser.
Changes
This policy will be updated when the site’s data handling changes — for example if analytics is enabled or a CRM integration is added. Material changes will be reflected here before the change is deployed.
